Division: Clinical Nursing Services (CNS)
Minimum Qualifications
Minimum of High School Diploma or GED with two (2) years of medical office experience required. Must have experience working with families. Must be compassionate, have a pleasant attitude, and maintain a positive, customer-friendly manner with the public at all times. Must have excellent communication, phone, and organizational skills. Must have knowledge of general office procedures/equipment and have basic computer skills; the ability to type 40 words per minute (WPM) preferred. Must be able to work effectively under stress. Must have the ability to work with diverse community groups.
Must have a dependable vehicle for use during work hours, valid Illinois Driver’s License, and appropriate auto insurance. Must be able to access a client’s home as needed. This position requires an individual be physically able to meet the demands of the job including bending, squatting, lifting up to 25 pounds, and assisting with holding during immunizations.
Summary of Job Duties
Completes data entry for health and immunization records into I-CARE from the Immunization Clinics. Answers the phone in the Clinical Nursing Services Division in a pleasant and professional manner. Provides answers to general questions, takes messages when needed, serves as a source of information and referral and forwards all medical-related questions to a nurse. Assists in the check-in clinic areas as needed. Performs cashier duties as scheduled. Performs basic clerical tasks including, but not limited to: data entry, filing, copying of records, and maintenance and ordering of forms. Provides good customer service during face-to-face and phone encounters. Answers questions in a pleasant and professional manner and refers medical questions to appropriate person. Pulls and files medical information and immunization records/cards as needed. Completes filing and basic clerical duties. Processes requests for medical records with appropriate consent on file. OR Processes requests for medical records from physicians, case workers, or other agencies. Assists Billing Specialist as needed. Provides clerical support to CNS Division. Assists CNS nurse with follow-up on recall list for immunization recall list. Provides monthly immunization totals accurately to the Director of CNS by required deadline. Conducts vaccine inventory and accountability weekly or as requested by Director of CNS. Orders Vaccines for Children (VFC) Program vaccines as directed by the Director of CNS. Receives shipment of all vaccine orders; verifies accuracy of
shipment; and appropriately stocks the vaccine refrigerators. Immediately notifies Director and Supervisor of vaccine orders received. Completes data logger readings twice daily and completes data entry into I-CARE as required for the VFC Program. Performs specific outreach activities as directed.
